3. Documents containing third-party or specially protected data
Documents sent for translation (birth or marriage certificates, criminal record certificates, immigration documents, clinical reports, clinical trial protocols, informed consent forms, etc.) may contain data about other people and special categories of data, such as health or criminal-offence data.
- Individual clients: the owner processes this data as data controller, solely to carry out the commissioned translation, and only strictly necessary personnel have access to it.
- Business clients, CROs, hospitals or institutions: where the client is the controller of the data contained in the documents, the owner acts as data processor and a contract is signed under Article 28 GDPR. If needed, please request this contract before sending the documentation.
By sending documents containing third-party data, the client declares that they are entitled to do so. Where possible, we recommend anonymising or pseudonymising any data that is not necessary for the translation.
All documents are treated as strictly confidential. They are not used to train artificial intelligence systems or for any purpose other than providing the service.

5. International transfers
The owner seeks to work with providers located in the European Economic Area. If any provider processes data outside it (for example, email, cloud storage or analytics services with servers in the United States), the transfer is covered by a European Commission adequacy decision (such as the EU-US Data Privacy Framework where the provider is certified) or by standard contractual clauses. [List the providers concerned].
